Privacy and security

What this site stores about you, how sign-in is protected, and who decides who gets access.

How your information is handled

These are commitments about the site's behaviour, not just intentions.

Your email address is your user ID

There is no separate username. Addresses are stored folded to lower case so there is only one spelling of each account.

Passwords are salted and hashed

Passwords are never stored in a readable form and never appear in an email. Nobody at Troop 80 — including site administrators — can see your password.

Biometric data never reaches Troop 80

If you sign in with Face ID, Windows Hello, Touch ID, a fingerprint, or a device PIN, that check happens on your own device. Troop 80 receives only a public key. No face image, fingerprint, or biometric template is uploaded, stored, or compared here.

Passkeys use WebAuthn

Passkeys are the web standard for device-based sign-in. Each one is tied to this site, so a passkey created here cannot be used anywhere else, and a copied password database cannot be used to impersonate you.

New accounts are reviewed before access is granted

Creating an account does not grant access. A Troop 80 access approver reviews each request and you are emailed the outcome either way.

Access follows the annual leadership roster

Who may approve accounts is determined by the leadership roster for the current troop year, not by a fixed list in the code. When a leadership assignment ends, the authority that came with it ends too.

Changes are recorded

Approvals, denials, role changes, leadership changes, and security events are written to an audit history that cannot be edited from the site. Records exclude passwords, reset tokens, biometric data, and medical information.

Only what is needed is collected

Your name, email address, how you are connected to Troop 80, and optionally a preferred name and phone number. Nothing else is asked for.

What this site deliberately does not store

Some information is better kept where it already lives.

  • Medical information

    Health forms, medications, allergies, and dietary needs are handled through the council’s own systems and on paper at camp. The camp coordinator tracks only whether a form has been submitted, never what it says.

  • Registration system credentials

    Sign-in details for the council registration system are not stored on this site and are never displayed here.

  • Biometric images or templates

    No facial recognition is performed by this site. No photographs are uploaded, retained, analyzed, or compared for the purpose of signing in.
